Privacy built for a process that has to know who you are.
Remote online notarization necessarily involves sensitive identity, document, payment, and audio-video information. This policy explains what ATC Verify collects and why.
1. Who we are
ATC Verify is a remote online notarization technology platform operated by Adams Trading Company LLC. References to “ATC Verify,” “we,” “us,” and “our” include Adams Trading Company LLC when it operates the ATC Verify service.
2. Information we collect
- Account information such as name, email address, phone number, business information, and login data.
- Government identification information and images submitted for credential analysis and identity verification.
- Biometric or facial-verification information processed as part of identity proofing, where used and permitted by law.
- Documents uploaded for signing or notarization and information contained in those documents.
- Audio-video recordings, session events, electronic signatures, journal information, notarial records, and audit data.
- Payment and billing information. Full payment-card details are handled by our payment processor and are not intended to pass through ATC Verify servers.
- Device, browser, IP address, security, fraud-prevention, diagnostic, and usage information.
- Notary credential, commission, insurance, payout, and professional-profile information for notaries using the platform.
3. How we use information
- To create and administer accounts and notarization sessions.
- To verify identity, analyze credentials, prevent fraud, and protect the platform.
- To connect signers, witnesses, businesses, and commissioned online notaries.
- To create, sign, protect, deliver, and retain completed notarization records.
- To process payments, payouts, refunds, receipts, and billing.
- To comply with applicable law, legal process, regulatory requests, and record-retention duties.
- To maintain, troubleshoot, secure, and improve ATC Verify and its audio-video, document, and identity workflows.
4. Service providers
We use trusted service providers to operate portions of ATC Verify, including cloud hosting and storage, payment processing, identity and credential verification, communications, analytics, security, and fraud prevention. These providers receive information only as needed to provide their services, comply with law, or protect the transaction.
5. RON records and retention
Florida remote online notarization law requires certain electronic journal information and uninterrupted audio-video recordings to be maintained for at least 10 years after the notarial act. ATC Verify may therefore retain legally required RON records for that period even if an account is later closed or a deletion request is made.
Other information is retained for as long as reasonably necessary for the purpose for which it was collected, to provide the service, resolve disputes, enforce agreements, prevent fraud, maintain security, and satisfy legal, tax, accounting, insurance, or regulatory obligations.
6. Security
ATC Verify uses administrative, technical, and organizational safeguards designed to protect sensitive information. Our infrastructure uses encrypted storage and TLS-protected connections, and payment-card entry runs through PCI DSS Level 1 payment infrastructure. No system can guarantee absolute security, and users are responsible for protecting their own devices, credentials, networks, and account access.
7. When information may be disclosed
Information may be disclosed to participants and authorized parties as necessary to complete or administer a notarization; to service providers acting for ATC Verify; to regulators, courts, law enforcement, or other persons when legally required; to detect or prevent fraud or misuse; or in connection with a business transaction permitted by law. RON information is not used or transferred in ways prohibited by Florida law.
8. Your choices and requests
Depending on applicable law and the type of information, you may request access, correction, or deletion of certain personal information. Some requests cannot be fulfilled where retention or disclosure is required for a notarization, legal hold, fraud prevention, security, or another legal obligation.
9. Children
ATC Verify is not directed to children. A minor may participate in a transaction only when legally permitted and with any consent, representative, witness, or other safeguards required by applicable law and the notary’s independent professional judgment.
10. Changes and contact
We may update this policy as the service, law, or regulatory requirements change. The effective date above identifies the current version. Questions or privacy requests may be sent to care@atcverify.com.
